MICROSOFT OFFICE TUTOR: Let Excel format your PivotTable so you can concentrate on the data (2000/2002/2003/2004/2007)

PivotTables have a job to do; they don’t always have to look pretty. As long as they’re helping you get to the bottom of your data, that’s all you need. However, there are situations when you want your PivotTable to look presentable and appealing, such as when you need to show your supervisor the latest budget figures.

Instead of spending valuable time trying to pretty-up your PivotTable, let Excel do the work for you.

To AutoFormat your PivotTable:

  1. Launch Excel and open the file in which you have a PivotTable that you’d like to format.
  2. Select the worksheet that contains your PivotTable and click anywhere inside the table to activate it.
  3. Choose View | Toolbars | PivotTable to display the PivotTable toolbar, if necessary.
  4. Click the Format Report button on the PivotTable toolbar to open the AutoFormat window.
  5. Select a format and click OK to apply it.

Note that you can choose to format the PivotTable in the form of a report or a table.

Adapt for Excel 2007
To AutoFormat your PivotTable in Excel 2007, click anywhere within your PivotTable to display the PivotTable Tools ribbon, which contains the Options and Design tabs. Click the Design tab and select a format from the PivotTable Styles Gallery. Remember that you can preview a style simply by hovering your mouse pointer over it. You won’t apply the style until you actually click on it.
